If you are a freelancer, a teacher or a student, your Surface probably holds work you cannot easily recreate: assignments, invoices, client files, family photos. Now it needs repair, and someone will ask you to hand it over. This post explains what Microsoft says about your data during service, what an independent repair like ours can record and state, and a simple rule for deciding what to back up and what to ask before you let anyone touch the device.
Should you back up first, and what if the Surface will not start?
Short answer: If you can still sign in, back up first, whichever repair route you choose. If the Surface will not start, you cannot back it up, so ask each route in writing what happens to the drive before you hand it over. Then choose the route that gives a clear written answer, and keep that message.
What does Microsoft say about your data?
Microsoft's own page on preparing a Surface for service advises that if you are able to turn on your Surface, you should back up and save important files to another computer, a drive, or a cloud service such as OneDrive. It also states that when you send your Surface to its service centre, everything on it is erased, and that Microsoft is not responsible for the loss of data during servicing. It adds that it will not be able to recover your data for you. You can read the wording on Microsoft's prepare-your-Surface page.
That page is a global one. For how your own repair would run in India, including the exact process, check Microsoft's current support page or ask Microsoft. For the broader picture of who does what, our post on Surface authorised vs independent service compares the two routes.
What can Laptop Repair World record and state?
Laptop Repair World is an independent repair shop, founded in 2007, with one store at MG Road, Secunderabad. We are not a Microsoft service provider and have no tie-up with Microsoft. When a laptop is collected, we record its condition, serial number and accessories. Before work begins, we state whether your drive will be touched by the repair. You can see the repair types on our Surface data recovery page.
- A written quotation listing parts, labour, GST and the visit fee before any work.
- If testing finds another fault, a revised quotation is approved before any further paid work.
- A handover test, so the repaired function is shown to you, with a short written record of the work.
We cannot promise that every file on a failed drive can be recovered. Recovery is separate work and the outcome depends on the drive. Repair of a Surface also depends on the exact model, the fault and part availability, confirmed after diagnosis.
What to back up, and where
- Documents, desktop and downloads: copy them to an external drive or to OneDrive.
- Photos and videos: these are large, so check there is enough space before you start.
- Browser data and saved passwords: sign in to your browser account so these sync, if you use that feature.
- Licences and keys: note any software activation details you will need later.
- Recovery information: note your Microsoft account and, if drive encryption is on, make sure you can reach your recovery key. The menu path can differ by model and Windows version.
Do not sign out of your only copy of anything until you have checked the backup opens. Open a few files from the backup before you hand the Surface over.
Questions to ask any repair route in writing
Monsoon, power cuts and courier distance
Outside Hyderabad, many owners send a Surface by courier. In the monsoon, a damp parcel or a power cut at the wrong moment can add risk, so wrap the device in a plastic cover inside the box and charge it before you pack it. A courier trip is also a reason to finish your backup first. We accept laptops by courier from anywhere in India. For doorstep service in the city, see our Surface service in Secunderabad page.
A typical case (an illustration, not a real customer)
Imagine a Surface Pro owner who teaches online classes. The screen has cracked but the tablet still starts. She copies her lesson folders to OneDrive and an external drive, opens three files to check them, and then asks both routes in writing what happens to her drive. She picks the route that answers clearly. Had the Surface not started, she would have kept the question in writing and asked for the plan before agreeing.
Which route makes sense?
If your Surface is in warranty or under a Microsoft plan you hold, the brand route comes first, and you should read its data terms. If it is out of warranty, or you want a written second opinion on the drive question, an independent repair can make sense. Our guide on how to back up before sending a laptop for repair covers the steps in more detail, and the Microsoft Surface repair hub lists the Surface services we handle.
When to get help
- The Surface will not turn on and you have no backup.
- The screen is cracked and you cannot sign in.
- You were told your files will be erased and want a second opinion.
- The Surface shows a storage or drive error at start.
Start with Surface data recovery. For a doorstep visit, there is a ₹149 doorstep visit fee, waived when you approve laptop repair with us. No Fix No Fee covers the repair charge if the fault is not fixed, while the visit fee is waived only when you approve the repair.
A note from the LRW Engineer Team
Make the backup before you decide anything else. A copy on a second device, opened and checked, costs little and removes most of the worry. If the Surface will not start, do not keep pressing the power button. Stop and ask for the drive plan in writing.
