Why does Outlook show a corrupt or inaccessible PST file?
Short answer: A PST (Personal Storage Table) file is Outlook's local database where it stores emails, calendar events, contacts, and tasks when using POP3 or IMAP accounts with local archiving enabled. PST corruption happens when the file is interrupted during a write operation (from a power cut, abrupt shutdown, or insufficient disk space) or when it grows so large that file system operations become unreliable. The symptom: Outlook hangs on loading, shows error 0x80040116, or reports the PST as not found or inaccessible. Microsoft's scanpst.exe (Inbox Repair Tool) was designed specifically for this and resolves most corruption cases.
How to fix — step by step
Step 1 — Back up the PST file before any repair
Before running any repair, make a copy of the PST file. PST files are typically located at: C:\Users\[YourName]\Documents\Outlook Files\ or C:\Users\[YourName]\AppData\Local\Microsoft\Outlook\. The file has a .pst extension. Copy it to a USB drive or another folder. This is your safety copy — if the repair attempt makes things worse (rare but possible), you have the original state to fall back to. Customers who skip this step and the repair fails lose emails they might have recovered from the uncorrupted backup copy.
Step 2 — Run scanpst.exe (Inbox Repair Tool)
Press Win+R and type scanpst.exe. If it does not launch, navigate to one of these locations depending on your Office version:

Click Browse and locate the corrupt PST file. Click Start. scanpst analyses the PST structure and reports any errors. If errors are found, click Repair. The tool automatically creates a .bak backup before repairing. After repair, open Outlook and check whether the inbox loads correctly. For mild corruption, one scanpst pass is sufficient. Step 3 — Reduce PST file size to prevent re-corruption
PST files over 20 GB are significantly more prone to corruption, especially on older NTFS-formatted drives or HDDs. Reduce the file size: in Outlook, go to File → Account Settings → Account Settings → Data Files tab. Select the PST file → Settings → Compact Now. This removes deleted item space and compacts the file. Additionally, archive emails older than 2 years to a separate PST: File → Tools → Clean up old items → Archive. Particularly for heavy Outlook users in India (business users with years of email history), splitting the PST into an active file and an archive file is the single most effective corruption prevention measure.
Step 4 — The India angle: power cuts and Outlook PST corruption
In India, PST corruption from power cuts is a recurring pattern. When Outlook is in the middle of writing a received email to the PST file and electricity is cut, the write operation leaves the PST in a half-written state that scanpst categorises as a header error or table corruption. The next time Outlook opens, it cannot read the file. A UPS (Uninterruptible Power Supply — a battery backup device) eliminates this specific corruption vector. Additionally, Outlook's AutoSave and periodic compact settings should be enabled: File → Options → Advanced → AutoArchive Settings. Run scanpst multiple times — not just once. Each pass progressively resolves corruption layers, revealing deeper issues that the previous pass could not see because the structure above it was broken. Two or three scanpst passes is standard practice for PST files that have been heavily corrupted by a power event.
