Tally Prime 5 SP1 freeze during voucher entry — gateway repair fix for CAs in India

LR LRW Engineer Team ~6 min read

Key takeaways

  • Three main causes: data file index corruption (.900 files), Gateway of Tally network timeout on multi-user setups, and insufficient RAM on budget laptops.
  • Always take a manual backup of the company folder before running Verify or Rewrite.
  • Gateway timeout on multi-user setups: confirm server IP and port 9000 in Help → Settings → Connectivity on both server and client machines.
  • Tally Prime 5 with large companies needs 8 GB RAM — upgrading from 4 GB eliminates freeze-on-load-ledger behaviour.
  • A failing HDD (older laptop with spinning hard disk) causes Tally freeze — SSD upgrade is a permanent fix.

It is the last day of the financial month. You open Tally Prime 5 SP1, select a company, and start entering vouchers — a payment entry, a purchase, a sales invoice. Midway through a voucher, the application stops responding. The screen freezes, the cursor spins, and Tally either recovers after 30–60 seconds or requires a force-close. This pattern — freezing specifically during voucher entry rather than at startup — points to one of three well-defined causes, all of which are fixable without replacing hardware in most cases.

Diagnosing which type of freeze you have

Freeze on voucher entry only (not at startup)

If Tally opens normally, the Gateway of Tally appears, you can navigate to a company, but the freeze occurs when you type in the voucher entry screen — particularly when the auto-complete for ledger names activates — the most likely cause is data file index corruption. The ledger name index in Tally's .900 data files is a B-tree structure (a type of database index optimised for fast lookups). When this index has a corruption, Tally hangs while scanning it to auto-complete the ledger name. The fix is Verify and Rewrite.

Freeze on multi-user setup (client hangs, server is fine)

If Tally works on the server machine but freezes on client machines — particularly when opening a voucher entry screen or saving a voucher — the cause is Gateway of Tally communication timeout. On the client machine, Tally requests ledger data from the Gateway server. If the server response takes longer than the configured timeout (often due to slow LAN, WiFi drop, or server-side load), the client hangs. This is common in small CA offices using WiFi routers that are 5+ years old.

Freeze accompanied by high disk activity (HDD light blinking furiously)

If the laptop's HDD (hard disk drive — the older spinning storage type, as opposed to SSD which is solid-state) indicator blinks rapidly during the freeze, and the freeze resolves after waiting, the laptop's storage is too slow to serve Tally's data requests. On a 5,400 RPM HDD, Tally's random read performance drops below what the application expects. On Windows 11, Tally's data access pattern creates many small random reads — exactly the worst case for a spinning disk. Upgrading to an SSD eliminates this freeze permanently.

Fix: Verify and Rewrite for data file corruption

Step 1: Take a manual backup first

Open Windows Explorer and navigate to C:\TallyPrime\Data\ (or wherever your Tally data is stored — if you are not sure, in Tally go to Help → Settings → Storage to see the data path). Find the folder for your company (named with a 5-digit number like 00001 or a name matching your company). Copy this entire folder to an external drive or another location. This takes 1–5 minutes depending on company size. Do not skip this step — Rewrite rebuilds indexes and while it does not delete transactions, an interrupted Rewrite can leave data in an inconsistent state.

Step 2: Run Verify Company Data

Open Tally Prime 5. From the Gateway of Tally, press Alt+K to open the Company menu. Select the affected company to open it. Once the company is loaded, press Alt+K again, then select "Verify Company Data" (or use the keyboard shortcut Alt+V). Tally scans all data files. If it finds inconsistencies, it reports them in a dialog. Note the errors shown — they indicate which data files are affected.

Step 3: Run Rewrite if errors are found

After Verify completes and reports errors, Tally provides an option to Rewrite. Click Rewrite and confirm. Rewrite rebuilds all indexes for the company data. For a company with 5,000–10,000 vouchers, this takes 10–20 minutes. For a large company with 50,000+ vouchers, allow 45–60 minutes. Do not force-close Tally during this process. After Rewrite completes, exit Tally, relaunch it, open the company, and test voucher entry. The freeze should be resolved.

Fix: Gateway of Tally network timeout

Verify server and client connectivity settings

On the server machine: Open Tally Prime, go to Help → Settings → Connectivity → Tally.NET Server. Check that Port is 9000 (Tally's default communication port). Note the machine's IP address (open Command Prompt and type ipconfig — look for IPv4 Address under the active adapter). Make sure Windows Firewall is not blocking port 9000 (Control Panel → Windows Defender Firewall → Advanced Settings → Inbound Rules — look for any rule blocking port 9000).

On the client machine: Go to Help → Settings → Connectivity. The "Tally.NET Server" should show the server machine's IP address, not 127.0.0.1 (which means localhost — it would be trying to connect to itself). Set it to the server machine's IP and port 9000. Save and restart Tally on the client.

Switch client from WiFi to wired LAN

If the client machine is connecting via WiFi, switch to a wired Ethernet connection even temporarily to test. Tally's data protocol is chatty — it makes many small requests per second during voucher entry. WiFi packet loss, even at 1–2%, causes visible freezes. If the freeze resolves on wired LAN, the WiFi connection is the bottleneck. A ₹500–₹1,500 USB-to-Ethernet adapter resolves this permanently if the laptop does not have an Ethernet port.

Fix: RAM upgrade for 4 GB laptops

Tally Prime 5 officially requires a minimum of 2 GB RAM but recommends 8 GB for companies with extensive data. On Windows 11 with 4 GB total RAM, the operating system reserves approximately 1.5–2 GB for itself and background processes. This leaves only 2–2.5 GB for applications. When Tally Prime 5 loads a large company with multiple ledgers and tries to cache the auto-complete index in memory, it competes with Windows for RAM. The result is frequent page faults — the OS has to swap data in and out of the SSD or HDD — causing the 30–60 second freezes you see.

Upgrading from 4 GB to 8 GB RAM (or 16 GB for heavy multi-company use) permanently resolves memory-pressure freezes. Our RAM upgrade service covers HP, Dell, Lenovo, Acer, and Asus laptops used in accounting offices. RAM upgrade cost: ₹1,500–₹3,500 depending on model and RAM type (DDR4 vs DDR5).

Fix: SSD upgrade for HDD-based laptops

If your laptop is more than 4 years old and has a spinning HDD (you will hear a faint clicking or whirring from the laptop when it is working hard — SSDs are completely silent), Tally Prime 5's random data access will be painfully slow on it. A 512 GB SSD upgrade costs ₹2,500–₹4,500 and reduces Tally's data load times by 5–10x. Our SSD upgrade service includes data migration — your Tally data, Windows installation, and all other files are moved to the new SSD without reinstalling anything.

India-specific context: monsoon season and power fluctuations

A significant number of Tally data corruptions we see in India trace back to power cuts during active voucher entry — particularly during monsoon season when power supply is unreliable. When a power cut hits while Tally is writing a voucher to disk, the data file can be left in an inconsistent state. This is the index corruption that Verify and Rewrite fixes. An UPS (Uninterruptible Power Supply) connected to the laptop's charging adapter prevents these corruption events. A basic UPS for laptop charging costs ₹2,000–₹4,000 and is the most cost-effective data protection measure for any accountant running Tally from home or a small office in India.

A note from the LRW Engineer Team

Most Tally Prime 5 SP1 freeze cases we diagnose have two concurrent causes: a data file that needs Rewrite, and a laptop with 4 GB RAM on a spinning HDD. Addressing only one of the two causes results in a partial fix. We recommend running Verify first (it takes 5 minutes), then assessing hardware if the freeze recurs.
