Why Tally Prime 5.0 data files get corrupted in India
Short answer: Tally Prime 5.0 stores company data in a proprietary ISAM (Indexed Sequential Access Method) database — a series of numbered files (.900) in the company's data folder. Corruption typically occurs from abrupt shutdown (power cuts are the leading cause in India), Tally being closed forcibly via Task Manager, or the storage drive developing bad sectors. Tally Prime 5.0 added improved journaling and an enhanced auto-backup system compared to earlier versions, but the underlying data format remains vulnerable to mid-write interruptions. The good news: partial corruption almost always affects only the most recent transactions, not years of historical data.
How to recover Tally Prime 5.0 company data in India
Step 1: Make a copy of the company folder before touching anything
Navigate to your Tally data folder (default: C:\Users\Public\Tally\Data\ or the path set in Tally.ini as Data= line). Find the numbered company folder (e.g., 10001 or a custom folder name). Copy the entire folder to a different location — a USB drive, another partition, anywhere off the primary location. Every recovery attempt you make after this uses the copy, never the original. This step is the single most important rule for Tally data recovery — irreversible repair operations should never touch the only copy. With the copy safe, proceed.
Step 2: Run Tally's built-in Rewrite function
Open Tally Prime 5.0. At the company selection screen (Gateway of Tally), press Ctrl+Alt+R — this opens the Rewrite Data utility. Select the affected company and confirm. Rewrite reads all transaction files and rebuilds the index and structural files from scratch. In our experience, Rewrite resolves about 80% of Tally corruption cases caused by abrupt shutdown. The process may take 5–30 minutes for a large company. After completion, open the company and verify your ledgers, vouchers, and closing balances. If recent transactions are missing (typically the day of corruption), re-enter only those entries — the historical data is intact.
Step 3: Restore from Tally backup if Rewrite fails
In Tally Prime 5.0, go to Help > Settings > Backup and Restore > Restore. Select the most recent .tbk backup file. Tally will restore the company to the backup point. The newer the backup, the less re-entry is needed. For Indian SMEs: set Tally's auto-backup to Daily (Help > Settings > Backup > Enable Auto Backup). A daily backup means maximum one day of re-entry after any failure. If you are on a multi-user Tally setup (Tally Prime License Server), the admin account has access to server-side backups that may be more recent than local copies. Tally Prime 5.0's improved auto-backup is a genuine upgrade from earlier versions — but only if you enable it. The default state has auto-backup off. Every Tally installation in India should have three things in place: daily auto-backup to a mapped network or USB location, a UPS on the accounting system, and a monthly external backup of the .tbk files to cloud storage (Google Drive, OneDrive). These three steps make Tally data loss a near-impossible scenario.
