Why Tally data loss is preventable — and why it still happens

How to set up automated Tally Prime 5.x backups
Step 1: Understand where Tally data lives
Tally Prime stores each company's data in a numbered subfolder inside the Data directory — usually C:\TallyPrime\Data\10001\ (the number is the company ID Tally assigns). The key file is Company.900 — the ledger file that holds all transactions, masters, and balances. Supporting files include sub-ledger files and the transaction log. Always back up the entire numbered company folder. Partial backups (just Company.900) miss the transaction log and can cause inconsistencies on restore.
Step 2: Enable the built-in Tally backup scheduler
In Tally Prime 5.x: Gateway of Tally → F3: Company → Manage Data → Backup → Schedule Backup. Set the destination path to either a mapped network drive or a local folder that is itself synced to cloud (like OneDrive or Google Drive folder). Set frequency to Daily at business close. Step 3: Map a network or cloud destination for off-site backup
A local backup on the same machine as Tally is better than nothing but still vulnerable to the same hardware failure. Map a network drive to a NAS device or another PC on the office network and point Tally's backup path there. For cloud off-site backup: install Google Drive or OneDrive on the backup machine, set the Tally backup destination to a folder inside the sync directory, and the backup auto-uploads after each scheduled run. Step 4: India-specific risk — power cuts during open Tally sessions
The most common Tally corruption scenario in India: the accountant is mid-entry when the power cuts. Tally is in the middle of writing a transaction to the .900 file. The write is incomplete, and the file's internal index is inconsistent. When Tally reopens, it may report "Data file is corrupt" or simply show wrong balances. A UPS costing ₹4,000–₹6,000 prevents this. Configure the UPS to trigger a graceful shutdown of the Tally session at 10 minutes remaining battery — most UPS management software supports this. Additionally, enable Tally Prime's AutoSave feature (F1 → Preferences → Data Configuration) which saves open transactions every 60 seconds by default.

Call a professional if: Tally shows "Data corrupt" and the in-built repair fails; you have no backup and the drive has physically failed; the .900 file is present but shows 0 KB or a date older than expected; or Tally opens but balances look wrong across multiple ledgers (indicating a partial transaction write).

The worst Tally data loss cases we see are invariably from businesses that ran the same laptop for 4–5 years with no backup, then came to us after the HDD stopped spinning. The .900 file structure is fragile under partial writes — far more so than a standard Word document or PDF. Treat Tally data with the same urgency as your bank statements: back it up daily, verify the backup monthly, and store one copy off-site.
