If you work with large video and photo files, as a documentary filmmaker in Guwahati might, a MacBook can fill up faster than expected. This monthly routine tells you what is safe to delete, what to leave alone, how to check your iCloud settings so you do not lose pictures by mistake, and what to do when the storage is simply too small for the work you do.
What is safe to delete when a MacBook is full?
Short answer: It is safe to empty the Trash, clear the Downloads folder, remove large files you have already backed up, and delete apps you no longer use. It is not safe to delete system files or anything inside the Library folder by hand. Back up first, then clean in small steps and look at the free space after each.
Step 1: See what is using the space
Open System Settings, choose General, then Storage. The wording can differ slightly between macOS versions. You will see a bar that shows categories such as Applications, Documents, Photos and System Data. Click the small info button beside a category to see the biggest items. Start with whatever is largest. Our guide on the System Data and Other storage category explains the confusing parts.
Step 2: The monthly routine
- Empty the Trash. Files in the Trash still take space until you empty it.
- Clear Downloads. Installers, old PDFs and duplicate files collect here.
- Remove large old files. Move finished projects and raw footage to an external drive, check they open, and only then delete the copy on the Mac.
- Uninstall unused apps. Drag the app from the Applications folder to the Trash.
- Check Messages attachments. Large photo and video attachments can build up. Review them in the Storage list.
What should you leave alone?
Never delete files from the Library folder or system folders to save space. A cleaning app that promises to do this can break apps or leave the Mac unable to start.
iCloud Photos: one setting that matters
If iCloud Photos is on, a picture you delete in the Photos app is removed from your other Apple devices and from iCloud as well, after a short holding period. It is not just a clean-up of this Mac. The Mac can keep smaller copies and store the full-size ones in iCloud when space is low. Check these settings in System Settings under your Apple Account name, then iCloud, then Photos (the wording can differ between macOS versions). Make sure the original files exist in a backup before you delete large photo or video libraries.
Can you add storage to a MacBook?
On Macs with Apple silicon, memory and storage are built in and cannot be upgraded later. Whatever you chose at purchase stays for the life of the Mac. For older Intel MacBooks, some models can take a new drive and some cannot, so ask a technician before buying one. A practical answer is an external SSD for footage and archives. Our comparison of external SSDs and hard drives helps you choose. Our Apple SSD page explains what is possible on each model.
Slow broadband and big libraries
Uploading a large photo library to iCloud over patchy broadband can take days, and a power cut can pause it. Keep the Mac plugged in, leave it awake overnight when a large upload is running, and do not delete the local copy until the upload shows as finished. In humid months, store spare drives in a dry box.
When to get help
- The Mac says the disk is full, but the Storage list shows much less used.
- The Mac will not start after a clean-up, or apps now refuse to open.
- You deleted files by mistake and want to recover them without writing new data over them.
If you deleted something by mistake, stop using the Mac and ask our Apple data recovery service for help. See also the Apple brand page or Apple service page for Secunderabad. Our doorstep visit in Hyderabad has a ₹149 doorstep visit fee, waived when you approve laptop repair with us. The quote follows diagnosis and is shared for your approval. A yearly care plan is also an option if you prefer regular check-ups.
A note from the LRW Engineer Team
Keep a good share of the storage free so macOS can work smoothly, and treat the Mac as a workspace rather than an archive. Finished projects belong on a backed-up external drive. Do the clean-up on the same date each month, and it stays a small task rather than an emergency.
