Why does the final laptop repair bill surprise people?
Short answer: Quoted repair costs in India typically cover the main part and basic labour. Additional line items — 18% GST, a diagnosis fee, data backup, courier charges, or OS reactivation — can add ₹500–₹3,000 to the total depending on the repair. Knowing what each charge covers prevents bill shock and helps you compare shops on a like-for-like basis.
What each hidden cost actually covers
GST — 18% on parts and labour
Laptop repair falls under HSN code 8471 (computers) and SAC code 9987 (maintenance and repair services). Both attract 18% GST. A GST-registered repair shop must charge this and issue a proper invoice with their GSTIN. Unregistered shops (typically sole-proprietor roadside repair with turnover under ₹20 lakh annually) may not charge GST but also cannot issue a valid GST invoice for reimbursement purposes. If you need the repair expense for employer reimbursement, insurance claim, or business accounting — always confirm the shop is GST-registered before booking. Diagnosis fee — what it covers and when it is waived
A diagnosis fee covers the technician's time to physically open the laptop, test components with diagnostic tools, identify the fault, and prepare an accurate quote. At professional shops, this runs ₹149–₹500 depending on complexity. Most reputable shops waive this fee if you proceed with the repair — effectively you are paying for the diagnosis only if you walk away after seeing the quote. Courier charges — for mail-in repairs
Customers outside the service area who send laptops by courier face two one-way charges: the customer's outbound shipping (₹300–₹600) and the shop's return shipping (₹300–₹600 for adequately padded packaging). Round-trip total: ₹600–₹1,200. Some shops offer free return shipping above a minimum repair value (typically ₹2,000). If the repair is cancelled after diagnosis, you still pay return shipping — confirm this policy before dispatching. The India angle — parts sourcing and import duty
India imposes 10–20% import duty on many laptop spare parts — screens, motherboards, and certain branded batteries sourced from overseas. Parts not stocked locally in India may need 7–21 days to arrive from suppliers in China, Taiwan, or Singapore. A part quoted at ₹3,500 today reflects import duties and local supply chain costs already baked in. Grey-market parts (imported without duty) are sometimes offered at 20–35% lower prices — but without warranty, quality assurance, or customs compliance. Data backup before repair
If the repair requires a format or OS reinstall, most shops charge ₹300–₹800 to back up your files to an external drive before proceeding. If you have a functioning backup already, skip this. OS reactivation after repair
Replacing the motherboard (or the SSD) can require Windows reactivation. If your Windows licence is a digital licence tied to a Microsoft account (common on OEM laptops purchased after 2020), reactivation is usually free — just sign in with the same Microsoft account. If the original licence was OEM and tied to the old hardware, a new key costs ₹800–₹2,500. Ask the technician whether the repair will affect your Windows licence before authorising a board or SSD swap.
