Why one backup method is not enough for Indian SMEs
Short answer: iCloud Drive syncs files to Apple's cloud in real time — it is excellent for recovering from theft or a hardware failure but has limited version history and depends on your internet connection. Time Machine backs up your entire MacBook to an external drive every hour — it is excellent for recovering accidentally deleted files from months ago but is offline. Together, they cover the two most common data loss scenarios Indian small businesses face: hardware failure and accidental deletion. The annual cost is under ₹3,000 for most setups.
How to set up the combo — step by step
Step 1: Set up iCloud Drive for active business files
Go to Apple menu → System Settings → Apple ID → iCloud → iCloud Drive → Turn On. Then click Options and enable Desktop and Documents Folders — this is the most important setting for business users because it automatically syncs your entire Desktop and Documents folder to iCloud, meaning any file you save normally is instantly backed up to the cloud. Choose an iCloud plan based on your file volume: ₹219/month for 200 GB covers most MacBooks with documents, spreadsheets, and presentations. If you work with large video files or design assets, the ₹749/month 2 TB plan applies. The 200 GB plan is shareable with up to 5 Apple IDs via Family Sharing — useful for small teams where everyone uses a MacBook.
Step 2: Set up Time Machine to an external SSD
Buy an external SSD with at least 2x the storage of your MacBook’s internal SSD — for a 256 GB MacBook, a 512 GB external SSD; for a 512 GB MacBook, a 1 TB external SSD. In India, a reliable USB 3.1 external SSD runs ₹2,500–₹5,000 for 1 TB. Connect the external SSD, then go to System Settings → General → Time Machine → Add Backup Disk. Select your external SSD. Time Machine will format it and begin an initial backup immediately. Leave the Mac plugged into power — the first backup can take 1–4 hours depending on data size. After the first backup, Time Machine runs automatically every hour whenever the drive is connected.
Step 3: The India angle — ISP upload speed and the iCloud reality
iCloud Drive syncs over your internet connection’s upload bandwidth. Indian home broadband plans typically offer asymmetric speeds — a 100 Mbps plan may have only 20–30 Mbps upload. A 200 GB initial iCloud sync at 20 Mbps upload takes 22+ hours. For most businesses, this is fine as a background process over a few days. The concern is if you lose your MacBook and need to restore quickly — downloading 200 GB from iCloud onto a new MacBook at 50–100 Mbps download speed still takes several hours. This is exactly why the local Time Machine backup on an external SSD is not optional — it is your fast-restore path. A 250 GB Time Machine restore from a USB SSD takes about 40 minutes; a cloud restore takes several hours or days. Also consider power cuts: if a power cut occurs during a large iCloud sync, the sync simply pauses and resumes when power returns. Time Machine handles interruptions the same way. Neither backup method has data loss risk from a power cut mid-backup.
Step 4: The 3-2-1 rule for Indian SMEs
The 3-2-1 backup rule (used by IT professionals worldwide) says: keep 3 copies of your data, on 2 different media types, with 1 copy offsite. With iCloud Drive + Time Machine, you already have this: copy 1 is on your MacBook’s internal SSD; copy 2 is on the Time Machine external SSD; copy 3 is in iCloud (offsite). If a natural disaster, theft, or power surge destroys your office, the iCloud copy is safe. If iCloud has a service outage (rare but possible), your Time Machine drive is safe. If you accidentally delete a file that has already synced to iCloud, Time Machine’s hourly local snapshots give you a fast local recovery. When to call a laptop repair service
When the backup saved you — and when it did not
We see both scenarios in the workshop. A MacBook’s SSD fails, the customer had both iCloud and Time Machine running, and we restore all their data to a repaired or replaced machine in under an hour.
